Use a general AI tool for drafting and exploring supplied information. For recurring questions about your business, check the connection, data freshness, permissions and supporting records—not just the quality of the chat.
Start with the job you want done
You want to send a clear payment reminder. You already know the amount and the promised date. A general AI tool can help with the wording. Now change the question: “Who promised to pay today, and have they paid?” That answer depends on business records and their update time.
Compare each tool’s access to evidence and its workflow. OpenAI documents file analysis in ChatGPT, including spreadsheets. Available connected apps and their permissions also matter. Compare the setup you would actually use rather than an outdated description of a tool.
| Your job | What the tool needs | What to check |
|---|---|---|
| Draft a reminder | Facts you provide | Names, amount, tone and recipient |
| Review last month's sales file | A complete export with defined columns | Dates, returns and included businesses |
| Check today's outstanding | Updated records and a defined calculation | Refresh time, company and supporting entries |
| Send or post something | Explicit action support and authority | Preview, approval, result and error handling |
Use the same question in a small trial
Take a question whose answer you can independently check. For example: “Show sales after returns for this company during August.” Keep the same company, date range and definition in each tool. Record what you uploaded or connected. A polished explanation with a different date range has not passed.
Try a second question with missing information. Ask about margin when the file contains sales but no cost data. A useful assistant should explain the missing inputs. A confident number manufactured from a guessed margin is a reason to stop the trial.
Ask six questions before paying
- Which records does this particular connection support?
- How old can an answer be, and where is that shown?
- Can I open the entries behind the total?
- What can each staff member see or do?
- What happens when the question is unsupported or ambiguous?
- What are the setup, ongoing and checking costs?
“Mere current software ke saath kya chalega?” is a better starting question than “Which model is smartest?” Ask for a demonstration on an agreed, non-sensitive sample. Do not let a staged example substitute for checking your own setup before operational use.
Where Dhandha GPT fits
Dhandha GPT starts with an Empire connection for supported, read-only business questions. Its wider vision includes helping owners move from answers to approved actions. A guided demonstration can illustrate that direction; it does not establish that every shown workflow is available in a customer's system. Check the Empire connection page for the current boundary.
Keep the tool that completes the job reliably at an acceptable total cost. You may use one tool to draft a message and another to establish the facts behind it.
Questions you might ask
Can ChatGPT analyse my business spreadsheet?
Yes, supported files can be analysed. Check the included records, dates and calculations; an uploaded file does not automatically stay current.
What should I test before choosing a business assistant?
Test a known answer and a question with missing data. Check scope, freshness, supporting records, permissions and total cost.
